Based on a fixed annual cycle, we conduct a quarterly analysis of license allocation, actual usage, and cloud consumption. Deviations such as inactive accounts, overallocated suites, and unused add-ons are identified and translated into concrete actions for your IT team. Additionally, we monitor relevant changes in Microsoft licensing terms and pricing and proactively translate them to your specific situation. Everything comes together in an Enterprise Optimization Plan that remains current throughout the year and seamlessly aligns with your True-Up and renewal.

Why is one-time license optimization not enough?
Because a licensing landscape is constantly changing. New employees are assigned the highest profile by default, departing employees often retain their licenses, departments adopt tools that overlap with existing functionality, and Microsoft regularly adjusts licensing rules and pricing. Without periodic monitoring, an optimized landscape falls out of sync again within twelve to eighteen months.
How often are measurements taken?
Standard quarterly checks include: analysis of usage and allocation, a report detailing deviations from the previous measurement, and a concrete action list. The frequency is temporarily increased around True-Up renewals. In the event of major organizational changes, such as an acquisition, we conduct an interim measurement.
Are you taking over management from our own team?
No. Managed Optimization is an advisory service, not a management service. We analyze, identify issues, and advise; the execution remains with your team, which knows the environment and the organization.
